Introduction
1.1 The UX & Innovation Conference (the “Event”) is organized by DDX (part of FastForward Global GmbH), and is primarily an in-person event series. We host conferences in various locations, including Germany, the USA, Japan, UAE, and the UK. DDX complies with relevant local regulations in each location. DDX’s mission is to accelerate the visibility of design impact and advance the maturity of the UX and digital innovation industry, with a commitment to sustainability and a human-centered approach to technology (including responsible AI). By registering for and/or attending the Event, you agree to these Terms and Conditions and to uphold the event’s values of inclusivity, respect, and innovation.
2.
Registration and Ticket Purchase
2.1 To register for the Event, you must purchase a ticket through our official platform (such as Eventbrite) or by contacting our support team at office@fastforward.global. Your registration is considered complete only when you receive a confirmation email (e.g., from Eventbrite).
2.2 DDX reserves the right to cancel your registration or ticket if any irregularities occur, including but not limited to incorrect or incomplete payment, use of an invalid discount code, or other fraudulent activity. In such cases, DDX may refuse admission to the Event.
3.
Ticket Prices
3.1 DDX reserves the right to change ticket prices for the Event at any time; however, any price changes will not affect tickets that have already been purchased.
3.2 Payments must be made using accepted methods (credit card, debit card, or bank transfer) at the time of purchase.
3.3 If payment is not received by DDX within 14 days of your registration (for instance, in the case of an approved invoice or bank transfer), DDX reserves the right to cancel your registration and refuse admission to the Event. You will still be responsible for any outstanding payment unless the registration is formally canceled by DDX.
3.4 DDX may offer various discounted ticket rates (e.g., early bird, student, group discounts). However, multiple discounts cannot be combined in a single purchase, and DDX reserves the right to change or withdraw any discount offer at any time.
3.5 In the event that your registration is not accepted or is rejected by DDX (for example, due to capacity limits or other reasons), you will be notified via a booking rejection email. If any payment was already made for that booking, it will be refunded to you within a reasonable timeframe.
4.
Refunds and Cancellation Policy
4.1 No Refunds:
All ticket purchases are final and non-refundable. Once a ticket is purchased, DDX is unable to offer any refunds. This no-refund policy applies under all circumstances, including, but not limited to, event cancellation, schedule changes, or attendee no-shows. This policy is in place due to financial constraints. We strongly advise that you secure your ticket only if you are certain you will be able to attend.
4.2 Ticket Transfers:
If you are unable to attend, you may transfer your ticket to another person. To request a transfer, you must contact us at office@fastforward.global with the new attendee’s details prior to the Event. DDX will assist with updating the registration. Only the person officially registered (or transferred into) on a ticket will be admitted to the Event.
4.3 No-shows and Failure to Attend:
No-shows or failure to attend the Event will not be eligible for any refund or credit. Tickets that are not used on the Event date will be forfeited without compensation.
5.
Event Modifications and Unforeseen Circumstances
5.1 Event Cancellation by Organizer:
DDX reserves the right to cancel the Event in case of unforeseen circumstances beyond its control (for example, government-imposed restrictions, natural disasters, or safety concerns such as those arising from a pandemic). This decision can be made at any time, including at short notice. In the event that the entire Event is canceled by DDX, no refunds will be issued; however, ticket holders will have the option to receive a credit for future events organized by DDX or transfer their ticket to another person.
5.2 Significant Changes (Format/Date/Location):
In situations beyond DDX’s control, it may be necessary to modify the Event’s format, content, venue/location, or scheduling. DDX reserves the right to make such adjustments. If the Event date and/or location is changed from what was originally announced, ticket holders will have the option to transfer tickets or receive a credit toward a future Event. (For example, if an in-person Event is moved to a different city or postponed to a different date, you can choose to receive a credit for a future Event).
5.3 Other Adjustments:
Any other changes to the Event (including changes in format, switching to an online/hybrid format, changes in content or schedule, or substitution of speakers) do not entitle ticket holders to a refund, credit, or price reduction. The conference program (including the list of speakers, topics, or schedule) is subject to change at DDX’s discretion. DDX will endeavor to communicate any major changes to attendees in a timely manner, but no guarantee is made that any particular speaker or topic will appear, and no refunds or credits will be issued for such changes.
5.4 Travel and Accommodation:
DDX is not responsible for any travel, accommodation, or other personal expenses incurred by attendees. In the event of a cancellation, postponement, relocation, or other significant alteration of the Event, DDX will not reimburse any associated costs beyond the ticket price. Attendees are solely responsible for any arrangements and costs related to travel and lodging, and it is advised to book flexible options or travel insurance to mitigate losses due to Event changes.
5.5 Event Rescheduling or Modifications:
In the event of a cancellation or major rescheduling of the Event, DDX will communicate options available to ticket holders, including credits for future events or ticket transfers, via email.
6.
Event Content, Intellectual Property, and Privacy
6.1 Usage of Conference Materials:
All presentations, documentation, and materials provided during the Event (the “Content”) are the intellectual property of DDX or the individual presenters and are protected by applicable copyright and intellectual property laws. Attendees are granted a limited, non-transferable right to use the Content for their personal or internal business use within their own organization only. You may not distribute, reproduce, modify, or share any Content outside of your organization, nor claim it as your own or use it for commercial purposes. This includes (but is not limited to) uploading slides or materials to public websites or shared drives, transmitting Content to external parties, or selling/monetizing the Content in any way without explicit written permission from DDX.
6.2 Online Content Availability:
If certain Event content (such as recordings or presentation decks) is made available online to attendees or the public after the Event, DDX reserves the right to suspend, limit, or remove access to such content at its discretion and without prior notice. There is no guarantee of continued availability of any posted materials, and DDX may decide to take down content for any reason.
6.3 Privacy Policy & Data Protection:
By registering for or attending the Event, you acknowledge that you have reviewed and agree to our Privacy Policy (available on our website). Any personal information we collect from you will be handled in accordance with that Privacy Policy and applicable data protection laws.
6.4 Photography & Recording Consent:
By attending the Event, you give permission to DDX (and its partners or sponsors) to photograph, film, and otherwise record the proceedings of the Event, which may include you as an attendee (for example, crowd photos, or you asking a question during a session). You acknowledge that DDX and its partners/sponsors may use these photographs and recordings for legitimate purposes, including promotional and marketing materials, Event documentation, or future Event promotion, without any restriction and without compensation to you. DDX will own all rights in these images and recordings. If you do not wish to be photographed or recorded, please be aware that we cannot guarantee your image will not be captured as part of the general Event media.
6.5 Event Communications & Partner Follow-Up:
By registering for the Event and opting in to receive communications, you consent to receiving follow-up messages related to the conference from DDX and selected event partners or sponsors. These communications may include thank-you messages, relevant resources, and information about related events or services. You may unsubscribe from such communications at any time using the unsubscribe link provided in emails or by contacting DDX directly.
7.
Code of Conduct and Behavior
7.1 Inclusivity and Respect:
DDX is committed to providing a welcoming, safe, and inclusive environment for all participants. Attendees, speakers, sponsors, and staff are expected to treat everyone with respect and courtesy. Harassment or discrimination of any kind – including but not limited to that based on gender, gender identity/expression, sexual orientation, disability, physical appearance, body size, race, age, religion, or any other characteristic – is strictly prohibited.
7.2 Professional Conduct:
All participants must conduct themselves in a professional and appropriate manner throughout the Event. This means following the instructions of conference organizers, venue staff, and volunteers, and refraining from behavior that could disrupt sessions or the overall Event experience.
7.3 Safety and Compliance:
Attendees are required to adhere to all venue rules, posted signs, and any safety guidelines announced by DDX or venue personnel. This includes compliance with local laws and regulations of the Event location, as well as any public health policies in effect (for example, COVID-19 or other health and safety protocols).
7.4 Focus on Positive Collaboration:
The UX & Innovation Conference encourages open dialogue and knowledge sharing. Disruptive behavior, excessive self-promotion, or actions that impede the Event’s purpose are not allowed.
7.5 Enforcement and Expulsion:
Participation in the Event is conditional on compliance with this Code of Conduct. DDX reserves the right to take appropriate action against anyone who violates these rules, including expulsion from the Event without a refund.
8.
Liability
8.1 Personal Responsibility:
Your attendance and participation at the Event is at your own risk. You are responsible for your personal property at the Event. DDX will not be liable for any loss, theft, or damage to personal items brought to the Event.
8.2 Limitation of Liability:
To the fullest extent permitted by law, DDX shall not be liable for any indirect, incidental, special, consequential, or exemplary damages arising from your attendance at or inability to attend the Event.
8.3 Direct Damages Cap:
In all cases, DDX’s total liability is limited to the amount you paid for your conference ticket.
8.4 No Limitation for Personal Injury:
Nothing in these Terms shall exclude or limit DDX’s liability for personal injury caused by DDX’s proven negligence, or any liability that cannot be excluded under applicable law.
9.
Governing Law
9.1 These Terms and Conditions shall be governed by German law. Any disputes will be subject to the exclusive jurisdiction of the courts in Munich, Germany.
10.
Miscellaneous
10.1 Severability: If any provision of these Terms is held to be invalid, the remaining provisions will continue in full force and effect.
10.2 No Waiver: DDX’s failure to enforce any part of these Terms shall not be construed as a waiver of that provision.
10.3 Entire Agreement: These Terms and Conditions constitute the entire agreement regarding your attendance at the Event.
10.4 Changes to Terms: DDX may update these Terms at any time. Significant changes will be communicated to attendees.
